Automations
Automations are workspace rules that react when a page is created or changed and then run an action, such as setting a property or moving the page to the trash. They run on AuroraCloud, so they keep working when your devices are closed.
Where automations live
Open Settings → Workspace → Features and scroll to Automations. The section lists the workspace's rules and has a form for a New rule.
Owners, admins and editors can see and change rules. Viewers see a notice instead.
Automations need an AuroraCloud workspace. In a browser-only or folder workspace there is no server to run them, so no rule runs and none can be created there.
Create a rule
- Give the rule a Rule name, for example "When a task is done, mark it reviewed".
- Choose a Trigger: Page created or Page updated.
- Optionally narrow it down. All the filters you set must match:
- Page type — only pages of this type. Any page type matches all.
- Parent — only pages directly inside this page. Any parent matches all.
- Status becomes — only when the page's status changes to this value, for example
Done.
- Choose an Action and fill in its details (see below).
- Leave Status on Active, or choose Disabled to save the rule without running it.
- Click Create rule.
Actions
| Action | What it does |
|---|---|
| Update property | Sets a property on the page that triggered the rule. Enter the Property key, then either a text Property value or Clear value to empty it. |
| Archive page | Moves the page that triggered the rule to the trash, where you can restore it. |
| Send notification | Sends you a notification through a notification connector. The action only appears when an active notification connector is set up for the workspace. |
| Run AI digest | Writes a daily brief for the workspace owner into their For you feed: new pages, stale pages and tasks that are due. It runs at most once a day per workspace. |
Pause, edit and delete
Each rule in the Rules list shows whether it is active, when it last ran, and its Recent runs.
- Pause or resume a rule with its switch. A paused rule never runs, not even for changes that were already waiting.
- Edit opens the rule in the form. Click Save changes when you're done.
- Delete asks you to confirm, then removes the rule and its run history. To keep a rule but stop it, pause it instead.
If you are offline, the list still shows your rules and they keep running on AuroraCloud, but you need to reconnect before you can change them.
Encrypted workspaces
AuroraCloud can't read the content of an end-to-end encrypted workspace, so rules only see what the server can: the page type, the parent, and a status that is stored unencrypted. In an encrypted workspace, Update property and Archive page can't run, and Run AI digest is skipped.
Automations and buttons
Automations run on AuroraCloud when something changes. If you want something to happen only when someone clicks, use a button instead: type /button in a page, or add a Button property to a database. Buttons run on your device, so they also work offline and in encrypted workspaces.
